RUX Service & Business Central User Licenses Capabilities

RUX Service is built-in and for Business Central. RUX Service is licensed by assigned/named user. To work with RUX Service functionality, a user must have a Service user license and a Business Central license. 


Licensed by assigned/named user, Business Central is available with Essentials or Premium levels of capabilities. You may license users either with an Essentials license or a Premium license, but not both. All users in an organization (that's typically a domain, specifically a Microsoft customer record, and not an environment) must have the same license type (Essentials or Premium).


Once an edition is selected, there are two types of user licences: 

  1. Full (Business Central Essentials User or Business Central Premium User). Full users are regular users of the application who can have full access to all licensed areas, granted they have permissions for the areas and functions.
  2. Team Members.Team Members are the read-only users and users who perform light tasks in the application. Team Users can: 
    • Read data within Business Central
    • Update existing data and entries in Business Central, such as previously created customer, vendor, or item records. Entries are defined as specific accounting information that, may be updated, such as a due date on customer ledger entries.
    • Approve or reject tasks in all workflows assigned to that user, with the limit that approvals and rejections can only update data in records that Business Central Team Members can access.
    • Create, edit, and delete a sales or purchase quote
    • Create, edit, and delete personal information
    • Edit job time sheets for approval
    • Use the Dynamics 365 Power Apps/Power Automate use rights provided with a Dynamics 365 license
    • Business Central Team Members application module may be customized with maximum 15 additional tables (custom tables or standard Dataverse tables) available to the Business Central Team Members license per pre-approved application scenarios. This application module is defined as the Business Central application capabilities available to Business Central Team Members users as described above.

 

This means Team Member users cannot create new customers, vendors, orders, invoices, journal entries. They cannot post. They cannot Make Order from a quote. They cannot manage opportunities. A Full user license is required to access these capabilities.

 

This also means Team Member users cannot fully process Rentals or Service transactions.

  • They can process Rental Shipments and Returns.
  • They cannot create Service or Rental documents, including converting a quote to a contract if sales lines are in use or when units are linked to inventory items that can trigger transfers or other inventory transactions when a service/rental document is created. 
  • They have read access and are limited in the data they can update.
  • They cannot post.
  • They cannot use the signature capture functions.
  • The limitations on the Team Member license apply to Business Central functionality and the apps. A Full user license is required to access these capabilities. For example, if you use advanced warehousing, it will further limit the users’ ability to update service documents as updating those documents will require writing to advanced warehousing tables and that is not allowed with a Team Member license.
